Job Description Summary

  • Provide administrative support to the SVP, Drug Discovery and other members of the CSO line leadership team as assigned, under the mentorship of EA to Chief Scientific Officer
  • Organize and schedule virtual, onsite, and offsite meetings
  • Arrange IT, facilities and catering support for departmental activities onsite and offsite as needed
  • Manage executive calendars and coordinate travel planning
  • Facilitate meeting logistics
    • Proofread, edit and reformat materials including Powerpoint and Word files
    • Capture and disseminate meeting minutes
    • Track action items
    • Provide on-site support for meetings at San Diego headquarters
  • Coordinate departmental conference registrations and room blocks
  • Edit presentations and various communications for internal and external stakeholders
  • Coordinate and track legal documents, purchase orders, and invoices
  • Maintain electronic departmental filing system, distribution lists and Concur attendee lists
  • Reconcile monthly purchase card account
  • Process expense reports in a timely manner
  • Answer and direct incoming calls, open mail, and prepare meeting documents
  • Provide back-up support to Sr. Management, as needed
  • Other duties, as assigned

What is Required

  • Minimum of two years of experience as an Administrative Assistant, preferably in Life Sciences industry
  • Strong written and oral communication skills
  • Proficiency in MS Office Suite and operation of other peripheral devices. Expertise in Powerpoint and Teams a plus
  • Experience in securing door-to-door, multi-leg, domestic and international travel
  • Ability to maintain and closely guard confidential information
  • Aptitude in working cross functionally with all levels of the organization
  • Prior experience supporting multiple functions
  • Must be highly organized, proactive, eager to learn, and skilled in handling and prioritizing simultaneous assignments
  • High school degree or equivalent required
  • Associate or Bachelor's degree a plus
