Job Description  Front Office Coordinator

 

RESPONSIBILITIES:

  • Greet all company visitors in a friendly manner and direct them to the appropriate function
  • Provide administrative support to the Administrator to the CEO, including company event planning
  • Stock and maintain office supplies/copier room, kitchens, lounge and front desk area
  • Answer main phone line and general email inbox
  • Set-up, order and breakdown all catering, to include quarterly town hall meetings
  • Manage and maintain conference rooms
  • Active member on the Events Planning Committee
  • Receive, create and ship and distribute all incoming/outgoing packages and mail
  • Reconcile purchase card accounts on a monthly basis, in a timely manner
  • Process expense reports and assist with travel
  • Update general internal SharePoint site (calendar, employee directory, etc.)
  • Maintain office equipment and work with all office vendors
  • Manage all facilities requests, employee access badge accounts and work with ARE
  • Order and maintain supply of branded items, including business cards for employees
  • Provide support to Executive Assistants as needed
  • Manage recycling programs (toner, batteries, etc.)
  • Responsible for procurement process (lab requests, creating and managing purchase orders, manage purchasing software)
  • Other duties as assigned

 

REQUIREMENTS:

  • Minimum two years of experience as a Receptionist or Office Coordinator, preferably in biotechnology or pharmaceutical industries, with a demonstrated increase in responsibilities
  • Must be friendly and flexible, ability to work across all level of the organization in a fast moving, quickly changing environment
  • Proficient in Microsoft Outlook and Word as well as operation of other peripheral devices
  • Ability to maintain confidential information
  • Must be highly organized and able to handle and prioritize many simultaneous assignments in a fast-paced environment
  • Must be able to lift to twenty lbs.
  • International shipping logistics experience a plus

 

EDUCATION:

  • High school degree or equivalent required
  • EOE
